The True Definition of Communication

The above title may seem elementary; however, I assure you that it is not. The fact is that most people do not communicate effectively at all; hence, they do not truly grasp the definition of communication.

The goal of this article is to provide you with a more in-depth definition and understanding of the same. The objective in doing this is to help you communicate more effectively by employing the correct tools and/or resources.

By definition, to communicate means the mutual giving and/or exchange of information and/or ideas. In this vein then, effective communication is to ensure that mutually given and/or exchanged information and/or ideas or not only clearly conveyed but also acutely understood by all parties involved in the circle of the communication.

Simply put, you are responsible for what you say and accountable for your actions therein. This is the ideal and pinnacle of effective communication.

As one of my teachers puts it, and I truly have come to experience and believe, “The quality of your communication equals the quality of your life.”

To the degree that you can convey your messages and understand yours and others viewpoints, the results you achieve will mirror the level of that clarity. As with diamonds – not all stones are made equally pure.

To this end, it is important that you understand the true meaning of communicating effectively and to do that it is vital that you first have an in-depth understanding of the true definition of communication.

First, let’s understand that we spend about 75% or more of our waking hours doing these 4 things: reading, writing, speaking and listening. All of these are forms of communication.

Let’s define what it means to communicate effectively through these methods.

As it pertains to writing or speaking, there are certain things of which you must be aware of and take responsibility for when you are the initiator in these instances.

First, you have to endeavor to take full responsibility for what you write or say and also the clarity of these communications. This means that if the message within is misconstrued, you are not to blame the recipient(s) of the message but instead, accept the burden that you are the one charged with ensuring the message is clear. Surely you cannot be expected to think for someone else or to know that what you say will penetrate them the way you wish it to; however, you can take the position of humility and simply rephrase or ask for clarification on how you might better present your message so that the recipient(s) will get the picture you are trying to paint.

The point is to take full responsibility for conveying your message clearly and rather than simply doing the way you like to read or hear it – focus on the ones for whom the message is intended. Your goal must be to make sure they understand because it is about them and not you.

Second, if there should be anything expected from the recipient(s) of your message, it is your responsibility to let them know at some point in your communication. In other words, you must provide the call-to-action. If you don’t, you cannot then be upset or frustrated when they do not respond or reply as you might have expected.

Here’s a quick guideline to follow when you are the initiator of communication:

  1. Tell them what you are going to tell them
  2. Tell them
  3. Tell them what you told them

This method of conveying your message ensures that much more people will understand your message much more quickly and fully.

As it pertains to reading or listening, there are certain things of which you must be aware of and take responsibility for when you are the recipient in these instances.

First, you must be willing to read or listen without pre-conceived notions. I realize that this may be very difficult in some instances; however, the practice will certainly increase the efficacy of your communications. Individuals who truly understand the definition of communication practice these relentlessly.

As the recipient of any communication our ultimate goal must remain to be that we are open, willing and only seeking true understanding of what is being read or said. Only then do we formulate our opinions, feedback or advice depending on what is being asked or stated. We read and listen genuinely so that we can respond in a genuine and authentic manner.

Second, you must remain accountable to any call-to-action once you have agreed to it. This is how the circle of communication is completed and effective; it is only when all involved parties accept responsibility and remain accountable to the charge therein.

There is no question that you can immediately improve the efficacy of your communications once you begin to put these into practice. This is the true definition of communication.

We are constantly seeing advertisements on TV promoting cell phones and cell phones carriers with what they call great introductory offers if you sign up with them on their network.

Is it worthwhile signing a one-year contract with a cell phone carrier?

Well that is a question that you need to answer for yourself, while the pricing may look attractive you need to consider if you will be using the phone on a regular daily basis. Ask your self the following:

·Will I be calling mainly friends and family?

·Will I be making out of state calls or international calls?

If you like to keep tabs on your children and you feel a cell phone is a good safe idea, do not make the mistake that many parents do in giving a cell phone that has line rental. If you do this be very prepared for a large monthly bill every month from the mailman. It’s like giving your child a large bag of candy and asking them not to eat them unless it’s really necessary. Prepaid cell phones are ideal for children, if their credit runs out, so be it, but you can always call or text them and it’s then up to you what extra credit to allow.

It’s very difficult for young children to budget wisely and kids will be kids so you need to careful when it comes to financing them a cell phone.

I know… you probably think of filing as the most boring job in the world, and there are probably a 101 other thing that you would prefer to do instead. However, as a solo business owner, it is down to you to do the filing and stay organized. As a result this is one of the areas that a lot of solo business owners find overwhelming – they simply do not know where to start, or how to systemize their business.

Papers here; papers there; papers everywhere!

The more piles of paper there are, the more overwhelmed they feel!

Creating and maintaining a filing system is the very foundation that your business is built on, so this is the first system you need to put in place – an efficient and effective filing system. And one that is simple to use too!

With a proper filing system in place you will very quickly and easily be able to find the information you need, when you need it.

Let me share with you below my 7 easy steps for creating your ideal filing system:

1. Determine your storage needs. Whether you decide to opt for a plastic filing crate, or a dedicated filing cabinet, one thing you need to keep in mind that you will need TWICE as much space as you think you’ll need.

2. Decide how you naturally look for information. This will determine what your filing system will look like, and how you will set up your files. For example are you a person who thinks in alphabetical terms, or does categorization serve you better? Remember – this is YOUR filing system so you need to do what works for YOU.

3. Categorize your filing drawers/crates. For example if you have a two-drawer filing cabinet, use the top drawer for business files and the bottom drawer for personal files. You decide how best to categorize your filing drawers. But don’t just put all your files together in one drawer without any system otherwise you won’t be able to find anything again!

4. Gather your supplies. Tabbed file folders work best simply because there are no holes to punch or fiddly clasps to undo. You simply drop your papers into your file – making filing your paperwork a cinch!

5. Create quick and easy access to your day-to-day files. A stepped-sorter holds approximately 8-10 files which step up the further back they are – making your files easily visible. Keep this on your desk, and store in it those files you know you will need access to every day.

6. Now move on to your PC filing system. Your PC is a very large filing cabinet, so it makes sense to create a similar filing system here as you did for your paper files. That way you do not have to manage two different filing systems – it’s the same system except one is physical, and the other is electronic.

7. Create a system for your emails. Again, follow a very similar or the same system for creating email folders as you did for your paper and PC files. Outlook and Thunderbird allow you to create different mail folders.

Consistency is the key to an easy-to-use, successful filing system. Create the same files and folders for your paper-based system, your PC system, and your email program.

Telephone Systems – An Overview On Operating Principle

A Telephone system is a communication instrument that transmits any voice / sound signals to far by locations by converting these sound signals in waves and receives and reconverts the same waves into sound signals/ voice. The telephone network is extended universally so if you want to talk to someone, you simply need to pick up the telephone system and dial a few digits. You are instantly connected to that person and both of you can have a 2 way conversation.

Telephone systems were first introduced by Graham Bell over one hundred years ago, but it is still works on the same operating principle. To make a call, we need to first pick up the handset. This causes the telephone system to be connected to a routing network. By pressing the numbers present on the touch tone keypad / frequency generator, signals are passed down via phone line to the routing station. Here, each digit is identified as a unique combination of tone frequencies. The specific combination of digits causes a signal to be passed to other telephone systems causing it to ring. When that telephone is picked up, connection between the two telephone systems is achieved.

The ear piece acts as speaker where as mouthpiece acts as a microphone. Sound waves from the user’s voice cause vibration to a thin plastic disc present inside the telephone system. This causes change in the distance between the plastic disk and another metal disk resulting in a varying electric current which is passed through the phone lines. The receiver on the other phone picks up this electromagnet current. These magnets cause diaphragm to vibrate which produces the sound /voice that initiated the current. An amplifier in the receiver end makes it easier to hear. When one of the phones is hung up the electric current get broken resulting in dis-connection of the telephone systems.

What's the Difference Between DS3 and T3 Bandwidth?

Do not be confused about the difference between DS3 and T3 circuits. These terms are really synonymous. Instead you should focus on what they can do for you … and the best scenarios for application.

Digital Signal (DS) is a system of classifying digital circuits according to the rate and format of the signal (DS) and the equipment providing the signals (T). DS and T designations have come to be used synonymously so that DS1 assumes T1, and DS3 implies T3.

A DS3 line (also known as a T-3) is an ultra high-speed connection capable of transmitting data at rates up to 45 Mbps. A DS3 line is equal to approximately 672 regular voice-grade telephone lines, which is fast enough to transmit full-motion, real-time video, and very large databases over a busy network. A DS3 line is typically installed as a major networking artery for large corporations and universities with high-volume network traffic. Other example applications include large call centers, enterprise wide VoIP and IP PBX systems, Internet service providers, research labs, video conference centers and software development companies. A DS3 is the second fastest, non optical connection offered in North America. A DS3 line is comprized of 28 T1 lines, each operating at total signaling rate of 1.544 Mbps.

DS3 circuits provide businesses and Internet Service Providers (ISPs) with up to 45 Mb / s of dedicated Internet connectivity. This is an ideal solution for users who have outgrown their T1 connections and are in search of unlimited, high-capacity access. A DS3 line actually consists of 672 individual channels, each of which supports 64 Kb / s. DS3 lines are extremely high bandwidth connections into a carrier's backbone. They typically include SLAs (Service Level Agreements) that guarantee uptime and performance.

The DS3 signal itself is composed of 28 DS1 signals and is constructed using a two-step multiplexing process. First, the 28 DS1 signals are multiplexed into seven DS2 signals. Second, the seven DS2 signals are multiplexed into one DS3 signal. Each multiplexing step uses bit stuffing to handle the different input frequencies. Overhead bits provide alignment, error checking, in-band communications, and bit stuffing control information.

A DS3 connection is comprized up of two monthly charges: the local loop and the port charge. The local loop charge is the cost of the circuit provided by the Local Exchange Carrier (LEC) that allows DS3 access into the carrier's network. The loop charge is based on the distance from the customer's location to the edge of the carrier's network; The farther the customer is from the network, the more the loop will cost. Nearly every carrier prices loops differently so it is in your best interest to price DS3 service with several providers to ensure that you get the best deal.

DS Internet Access is the ideal solution for businesses that require high-bandwidth access at a reduced price. Whether you host high-traffic Web sites, support Web hosting or need high-capacity bandwidth on an as-needed basis, there's a level of DS3 service (Full or fractional) that will meet your needs. Fractional to full DS3 or T3 circuits run from speeds of 3 Mbps up to 45 Mbps.

For customers that require more bandwidth than a T1 line can provide but do not yet require the capacity of a full DS3 line, a fractional DS3 connection is the ideal solution. A fractional DS3 is similar to a full DS (T) 3, only with some of the channels turned off. This reduces the total monthly cost and provides additional capacity that can be turned up in a matter of days. Unfortunately, the DS3 (T) loop is still required for this service.

If a full DS3 line is more bandwidth that you really need, it is also possible to get Fractional DS3, which gives you a portion of full DS3 bandwidth at a lower cost. Of course, DS3 is also available in multiples to increase bandwidth, similar to bonded T1 service.

DS3 service can be deployed for a wide verity of applications. The most common uses are DS3 point-to-point, DS3 internet, DS3 frame relay, DS3 voice and DS3 VPN. The pricing for these connections varies broadly depending on the carrier, location of service and the application for which the connection is being used. Mobile Phones – Good & Bad Manners

Just about everyone uses a mobile phone but not everyone has good manners when using one, how often have we seen someone driving along the highway, maybe even children in the back, talking on their mobile? This is not only very bad manners it is also illegal in most countries in the world.

There are some very simple guidelines, usually just common sense on how to use a mobile without being obnoxious or downright rude. How often have I felt like reminding someone yelling on their phone that the signal will not carry any worse if they lower their voice! Then again some people want others to hear all the details of their love life or whether they should get more milk from the store, it may well make them feel important.

So what are the common courtesy rules while using a mobile phone?

1. Don’t talk and drive.

2. No need to shout, it is a phone not a mega phone, this is very bad manners, be softly spoken, your mobile has a very sensitive microphone.

3. Turn it off while at the movies, in a restaurant, in church, at a concert and in hospitals, libraries and anywhere else that it could intrude.

4. Please, please turn it off while on a date! You will not look popular, you will look like a tool and a bad mannered one at that.

5. All those guidelines apply to texting as well.

6. Remember to keep your mobile conversations private, step outside when in company,and don’t forget to excuse yourself when you do so.

7. Obnoxious ringtones, are well.. obnoxious, we don’t want to hear flatulence noises, or the sounds of machine gun fire, bad noises= bad manners, please there is no need to have the ringtones so loud as to make everyone jump.

The mobile phone has become so very widely used very quickly, we have not really had a chance to get that used to them and I suspect some people are still coming to grips with the very basic mobile phone etiquette. When in doubt put your phone on vibrate, this way you can see who is calling and make a note to call them back or go to a more private place to talk, to have good mobile phone manners is only common sense.
